BI Builders AS – Standard Software Privacy Policy

Introduction -The aim of this privacy policy is to describe how personal data are processed by BI Builders AS, org.nr. 991 594 582 (“BIB”), when a customer orders a license to BIB's standard software.

Do we collect personal data? Yes, we do collect and process a limited amount of personal data related to individuals who act on behalf of our customers. BIB acts as the data controller for such personal data.

Why do we collect and process personal data? Our collection and processing of personal data is necessary in order to enter into and manage contracts with our customers. Our collection and processing of personal data is, therefore, necessary for the purposes of the legitimate interests of our customers.

What types of personal data do we collect and process? When you act on behalf of our customers, we may collect limited personal information about you that typically include name, email, organization you represent, title/role and phone numbers. The personal information is typically stored in our internal systems used for efficient management of our customer relationships.

How do we process personal data? Depending on your defined role in the customer's organization, we may process your personal data for the following tasks:

  • Administrative management of the relationship with the customer (e.g. sending information, notices etc)
  •  Commercial management of the relationship with the customer (e.g. billing, payments etc)
  • Technical management of the relationship with the customer (e.g. information on upgrades, release notes etc)

Do we share personal data? We may use subcontractors to provide services which store or process personal data. We will also share/disclose personal data when providing your contact details with relevant parties (e.g. other suppliers to the customer) when this is necessary in ordinary provision of the contract management tasks.

Do we transfer personal data to third countries? As a principle, we will store your personal data within EU/EEC. If the processing requires the transfer of data for processing outside of EU/EEC or involvement of subcontractors outside of EU/EEC, we will make sure that the agreement with that subcontractor includes data processor agreements based on the EU Standard Contractual Clauses or that the subcontractor is certified according to the EU/US Privacy Shield framework, if located in the US.

How long do we store personal data? When you no longer representing the customer, we will remove your contact details from our CRM and support systems. The information systems might, however still have traces of your historic activities from when acting as representative for the customer.

How do we protect personal data? We maintain technical, physical, and administrative security measures designed to provide reasonable protection for your personal data against loss, misuse, unauthorised access, disclosure, and alteration.

What are your rights with regard to our processing? You may at any time request access to a copy of personal data we have stored about you and request rectification of personal data which are incorrect.

The right to be “forgotten”, right object to processing, and right data portability are considered not relevant for our processing of personal data regarding you, as we are only processing personal data regarding you as a representative of the customer. If you believe that our processing of personal data relating to you infringes applicable laws, you may file a complaint with a supervisory authority.
